Employee & Graduate Student Travel

Setup and Reservation Process:

Log into Concur.

  • You must "Reserve a Trip" via Concur. Every U of U traveler must reserve their own trip, unless they are part of a group trip (10+ U of U travelers with same itinerary).  
  • You must "Reserve a Trip" in Concur even if you will have no expenses (other than fleet vehicle rental, travel insurance, and/or conference/seminar registration fees), all your expenses will be paid by funds outside of the U, and/or it is an international trip.)
    • Domestic "travel"must be reserved not less than 1 day prior to the departure day.
    • International "travel" must be reserved not less than 3 weeks prior to departure day.
    • Failure to "Reserve a Trip" in Concur in a timely fashion will result in the need for VP approval in order for the trip to reserved.
  • Refer to the GG Department Step-by-Step Guide to Using Concur Travel System (see Concur Systems Training SOP and forms below). All U of U employees and graduate students who travel are required to complete the Concur training well in advance of their next trip.

 

  • Do NOT use Concur.
  • Also refer to the "Doing a Fieldtrip?" resource page.
  • If you are going out into the field to conduct field work, it is strongly recommended that you complete a Field Safety Plan.

  • If your "trip" (<100 miles and no overnight stay) includes significate logistics and expenses, you CAN still "Reserve the Trip" in Concur, which will make the reserveation and reimbursement processes easier. If you have minimal expenses you need reimbursed, use the GG Travel Reimbursement Form.
  • If you are going out into the field to conduct field work, it is strongly recommended that you complete a Field Safety Plan.
